GiMTradeFin is a trade finance brokerage platform based in Kuala Lumpur, Malaysia. We act as an intermediary connecting importers, exporters, and third-party financial institutions. We do not provide loans, credit, or financial products ourselves, all financing is arranged and provided solely by independent licensed third parties.

2. Personal data we collect 

We collect only the data necessary to provide our matchmaking and facilitation services. This may include:

• Identity & contact data: full name, email address, phone number (including WhatsApp), business name, position/role

• Business & trade data: company registration number, business address, nature of business, import/export history

• Financial & transaction data: approximate deal value, product/service description, proforma invoice / commercial invoice details, supplier details, destination country, origin country

• Identity verification data: copy of passport/ID, business registration certificate, utility bill or address proof (when required for prescreening)

• Communication data: messages, call notes, WhatsApp/chat logs, email correspondence

• Technical data: IP address, browser type, device information, website usage data (via cookies/analytics)

We do not collect sensitive financial data such as full bank account numbers, credit card details, or passwords.

3. How we collect your data

• Directly from you: when you fill forms, upload invoices/documents, send WhatsApp/email messages, or speak with us

• Automatically: through website cookies, server logs, analytics tools (Google Analytics, etc.)

• From third parties: rarely, from public sources (e.g., company registry verification) or referrer partners (with your consent)

We share your data only when necessary:

• With third-party financiers/partners: only the minimum required data for them to assess and potentially provide financing (shared with your explicit consent or when you submit a deal)

• With service providers: cloud storage (Google Drive), communication tools (WhatsApp Business), analytics (Google Analytics),  all under strict data processing agreements

• With legal authorities: if required by Malaysian law or court order

We do not sell your personal data to third parties.

6. Data storage & security

• Data is stored on secure servers in Malaysia or jurisdictions with adequate protection (Singapore).

• We use encryption (HTTPS, secure file links), access controls, and regular security reviews.

• WhatsApp messages are end-to-end encrypted by Meta; we do not store full chat histories beyond necessary notes.

• Invoices and documents are deleted after deal closure or 12 months (unless required for legal purposes).
